Ringa AI Pty Ltd(ABN pending registration) (“Ringa”, “we”, “us”, or “our”) is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and disclose your information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
We collect personal information necessary to provide the Ringa AI receptionist service, including:
- Caller information: Name and phone number provided by callers to your Mia receptionist
- Call recordings: Audio recordings of calls handled by Mia, used to generate SMS summaries
- SMS data: Content of SMS summaries sent to business owners after each call
- Business information: Your business name, phone number, and contact details provided during signup
- Account data: Email address, billing information, and usage logs
- Website data: Browsing behaviour on getringa.com collected via analytics cookies (see Section 9)
2. How We Use Your Information
We use collected information solely to provide and improve the Ringa AI receptionist service:
- Answering incoming calls on your behalf using Mia
- Generating and delivering SMS summaries of call details
- Maintaining your call history and dashboard
- Billing and account management
- Improving the accuracy and naturalness of Mia's voice AI
- Complying with legal obligations
We do not sell your personal information or that of your callers to third parties.
3. Call Recording
When Mia answers a call on your behalf, that call is recorded and processed by AI systems to generate a transcript and SMS summary. Call audio is sent to our third-party AI providers (Deepgram for speech-to-text and OpenAI for language processing) before being deleted.
As the business owner using Ringa, you are responsible for ensuring callers are aware their call may be recorded. We recommend including a brief disclosure in your business greeting or on your website. See our AI Receptionist Terms for more detail on call recording compliance.
4. Data Retention
Call logs, recordings, and SMS summaries are retained for 90 days from the date of the call. After this period, recordings are permanently deleted. Account and billing records are retained for 7 years in accordance with Australian tax and financial reporting requirements.
5. Information We Share
We share personal information with the following trusted third-party providers only to the extent necessary for them to perform their function. We do not sell your data.
- Twilio Inc (USA): Phone call routing and SMS delivery. Processes call audio and SMS content on our behalf.
- OpenAI LLC (USA): AI language model (GPT-4.1-mini). Processes call transcripts to generate SMS summaries.
- ElevenLabs Inc (USA): AI voice synthesis. Generates Mia's spoken responses during calls.
- Deepgram Inc (USA): Speech-to-text transcription. Converts caller audio to text for processing.
- Supabase Inc (USA): Database and data storage. Call logs, SMS summaries, and account data are stored here.
- Vercel Inc (USA): Website hosting for getringa.com.
- Calendly LLC (USA): Demo booking. Used if you book a demo through our website.
Each provider operates under their own privacy policy and data processing agreements. We only share the minimum data necessary for each provider to perform their function.
6. Overseas Disclosure
All third-party providers listed above are headquartered in the United States of America. By using the Ringa service, you acknowledge that your personal information (and that of your callers) will be transferred to and processed in the USA.
Under Australian Privacy Principle 8 (Privacy Act 1988 Cth), we are required to disclose this and to take reasonable steps to ensure overseas recipients handle your information consistently with Australian privacy law. We do this through contractual data processing agreements with each provider.
7. Australian Privacy Act 1988 Compliance
Ringa complies with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.
Where your callers provide personal information through Mia, you (as the business operator) are responsible for ensuring your use of Ringa complies with your own privacy obligations to those callers. We recommend informing your callers that calls may be answered by an AI receptionist.
8. Data Security
We use industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls to protect your data. Access to personal information is restricted to authorised Ringa staff and contractors who require it to perform their duties.
9. Cookies
Our website (getringa.com) uses the following types of cookies:
- Essential cookies: Required for login, authentication, and session management. Cannot be turned off.
- Analytics cookies (Google Analytics GA4): We use Google Analytics to understand how visitors use our website. This data is anonymised and aggregated. Google Analytics data is processed by Google LLC (USA).
You can disable analytics cookies by adjusting your browser settings or by using a browser extension such as the Google Analytics Opt-out Browser Add-on. Disabling analytics cookies does not affect your use of the Ringa dashboard.
10. Marketing Opt-Out
If you have signed up for Ringa, we may occasionally send you service updates, product news, or offers related to Ringa by email. You can opt out of marketing emails at any time by clicking the unsubscribe link in any email we send, or by emailing us at hello@getringa.com with the subject line “Unsubscribe”. We will process your request promptly.
We will not send you unsolicited marketing emails if you have not consented, in compliance with the Spam Act 2003 (Cth).
11. Your Rights
Under the Australian Privacy Act, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that we correct inaccurate or incomplete information
- Deletion: Request that we delete your personal information (subject to legal retention requirements)
- Complaints: Lodge a complaint with us first; if unresolved, escalate to the Office of the Australian Information Commissioner (OAIC)

We may update this Privacy Policy from time to time. We will notify you of material changes by email or via a notice in your Ringa dashboard. Your continued use of the service after the effective date constitutes acceptance of the updated policy.
